General Office SupportFaculty AssistantsThere are eleven faculty assistants located at stations on the fourth and fifth floors, and also on the sixth floor of the Hotung Building. Each assistant provides support services for approximately 10 faculty members. Our current Faculty Assistants are:
Faculty assistants answer phones; prepare correspondence; assist with computer and technical issues; coordinate meetings with students; and maintain faculty calendars. In addition, Mary Ann DeRosa (x9285) assists the faculty with transcription services. Each faculty assistant works eight hours per day between the hours of 8:30 a.m. and 6:00 p.m., with a 1/2 hour unpaid lunch break between 12 noon and 2 p.m. If an assistant is unable to complete all of the assigned work, the Faculty Support Manager, Cathy Strain (x9285), will provide assistance. Furnishings, Moving and Storage Attempts have been made to create a thoughtful, methodical approach to purchasing new furniture and replacing decades-old furnishings. Needs are prioritized and furnishings purchased as funding becomes available. [A balance of areas used by students, faculty, and staff is achieved through the prioritizing process. Given the resources provided, the furnishings program is moderately successful. Contact our Project Manager Anita Padmanabhan (x9459) for further information.] Space planning is done with the direction of Dean Aleinikoff and the department requesting the change. Considerations for furniture changes, alterations and additional space possibilities are analyzed carefully. Program decisions are made independent of space considerations. Many programs begin in substandard space and seek additional or improved space as time goes on. Moving services are available to faculty and staff to reduce the time-consuming and disruptive activities associated with changing offices/work stations. Professional moving services handle the larger move projects, while facilities management staff members handle the smaller moving assignments. Effective planning and execution of those plans has resulted in minimal down time, disruptions in schedules and damage to office furnishings. Efforts to provide faculty and staff members with safe, convenient and facilities-friendly storage services are increasing. Three major storage areas (P-2 New, P-2 Administrative and Gewirz basement) have been cleaned and rearranged to provide additional storage space for use by the Law Center community. Periodic types of storage projects, which include the purchase of and conversion to sealing plastic storage containers, facilitate the efficient operation of the storage service. Mailing services are available to all Law Center faculty, staff, and students. The Mail Room, located in room 535, handles all United States Postal Service mail, assists in sending overnight packages by UPS and Federal Express, and sends packages to the Main Campus via courier. The Mail Room also receives, sorts, and delivers all incoming mail and packages to the Departments and to faculty twice daily. Sending Out Mail and Packages The Mail Room Provides the following delivery services: U.S. Postal Service: The Mail Room provides regular U.S. mail services including Certified, Insured, Express, and Priority Mail. International mailing is also available via International Express, Global Priority, and Recorded Delivery. Federal Express (FedEx): The Mail Room will assist in sending packages via FedEx. FedEx is Georgetown University's preferred special delivery service. The University has a contract with FedEx for reduced rates, and encourages use of FedEx over other mailing services. FedEx provides Priority Overnight (next morning, select sites) and Standard Overnight (by afternoon next day) as well as FedEx Ground and FedEx International services. See www.FedEx.com for more detailed information. DHL and UPS: The Law Center also maintains accounts with DHL and UPS. Labels are available in the Mail Room for both companies. To request a pick up from DHL, call 1-800-CALL-DHL. For international DHL shipments, call 1-800-323-4685. To request a pick up from UPS, call 1-800-PICK-UPS. Courier Services: Courier services to the Main Campus and the Wisconsin Avenue office are provided twice daily, with pick up times at 11:00 a.m. and 2:15 p.m. The courier also delivers campus mail to Hoya Station, which then delivers to points on the Main Campus. To send an item, or request a pick up from the Main Campus, complete the applicable form available in room 475. Indicate on the form whether the desired service is delivery or pick up and leave the form (and the item to be delivered, if any) in the tray in room 475. Special Mail Services Mass Mailings: Mail and delivery services are available to assist Law Center departments with mass mailings. The department staff can accommodate mass mailings of up to 3,000 pieces. Certain requirements must be met, so those considering a mass mailing should contact Michael Morgan (x9648). Folding, Labeling, and Stuffing: The Mail Room also provides folding, labeling, and stuffing services for a fee. Currently, department machines accommodate documents no larger than two pages for folding and stuffing. See Michael Morgan if you need assistance with larger mailings. She will also provide you with a fee scale for these and other services. The Law Center Receptionist, Edna Webster, directs calls from the Law Center's main switchboard, on the fifth floor of McDonough Hall, Monday through Friday from 9 a.m. to 5:30 p.m. The Receptionist may be reached by dialing 202-662-9000 from off campus or by dialing "0" from on campus. Photocopying In addition to staffing the Photocopy Services office, the Office of Faculty Support and Campus Services maintains code-operated self-service photocopiers at various locations around the Law Center. Codes to operate these machines are issued to faculty, student organizations, and most departments. Self-service photocopiers can be found at the following locations:
Each month, the Support Services Assistant, Ronnie Rease (9286), reviews the number of copies made on each account and charges for the photocopies at the rate of 5 cents per page. Fax The general fax machine for the Law Center is located in Room 475. The incoming number to this fax is (202) 662-9444. Faxes received on this machine are filed in the trays next to the machine by the last name of the recipient. Faculty assistants check these boxes daily and deliver faxes to faculty members. The administrative assistant for the Photocopy Center, Ronnie Rease (x9286), maintains the faculty and staff stock of office supplies and monitors access to, and supply of, toner and printer cartridges. To order office supplies, faculty members should consult the Boise Cascade Office Supply catalog located at Sylvia Johnson's desk in room 475 of McDonough Hall, or visit the Boise website at www.boiseoffice.com. E-mail or call in your request directly to Sylvia. Orders are filled, after inventory is checked, once a week, usually on Thursdays. Emergency orders may also be placed. Orders placed before 5 p.m. are usually delivered by noon the following day. When the supplies arrive, Sylvia will notify the faculty assistant assigned to the faculty member. Georgetown
Printing and Graphics Orders Support for ScholarshipConference and Symposium Planning Conference and Symposium Planning, formerly handled by the Office of Faculty Support, is now under the auspices of Special Events/Dean's Office. Information regarding their services may be obtained from the Office of Special Events, located in room 479 (x9505). Editorial Services and Copyright Permission Two Faculty Manuscript Editors, Anna Selden (x9405) and Zinta Saulkalns (x9451), provide editorial support services to more than 80 full-time faculty members. The editors will copy edit for grammar and style; examine and correct page proofs, blue lines, and authors' copies; correspond with publishers and contributors; and provide technical support in the area of manuscript production. Faculty members are asked to complete an Editorial Services Form and to speak directly with an editor to discuss the nature of their project. The Manuscript Editors also are available for obtaining copyright permission for printed material. Copyright permission is needed before course materials can be copied. Information concerning copyright is provided to faculty members each semester with the course materials instructions. If copyright permission is necessary, the faculty member or requestor must complete the Copyright Permission Request Form. Completed forms may be faxed to Zinta Saulkalns at (202) 662-9444 or dropped off in Room 475. Support for TeachingThe Photocopy Center prepares course materials and operates the Distribution Center. The Office of Faculty Support and Campus Services establishes a schedule each semester for submission of materials. Packets of less than 250 pages are generally due three weeks prior to the first day of classes. Packets of greater than 250 pages are generally due six weeks prior to classes. Faculty are asked to complete a Request for Course Material Photocopying sheet. The deadlines for submission of Summer 2005 course materials are the following: 250 or more pages are due by Thursday, May 12, 2005; 249 pages or less are due by Friday, May 20, 2005. Prior to submitting your course material documents for photocopying, please review the Photocopying Preparation form. Each faculty member is responsible for all copyright permissions. We also provide document conversion services. For example, if faculty need documents converted to PDF format to upload to their Courseware site, the Office of Faculty Support has the resources to do this. Please fill out a Request for Photocopying-PDF Format sheet. We can also convert hard copy documents into text files. For assistance, contact Cathy Strain at x9285. Course Material Price List Fall 2005 First Class Reading Assignments Faculty who wish to have first-class reading assignments posted for the Summer 2005 term may do so by e-mailing your assignment to facultysupport@law.georgetown.edu. You can also fax your assignments to Cathy Strain at 202-662-9444. Please E-mail or fax reading assignments no later than Friday, May 20, 2005. To view reading assignments on the web, please click on the following link: Reading Assignments Faculty Evaluations are distributed over a two-week period to registered students every semester. Faculty receive a memorandum from the Associate Dean late in the semester that announces the date on which the evaluations are scheduled for each class. Packets are placed in the classrooms before class begins. Completed forms are returned to the Office of Faculty Support and Campus Services (room 475), the Mail Room (room 535), or the Second Floor Guard Station in the box marked "Faculty Evaluations." Results are distributed to each faculty member after grades are submitted. The Office of Faculty Support and Campus Services has seating charts for each Law Center classroom. Faculty members who would like a copy of a seating chart should go to room 475 and the Support Services Administrative Assistant, Ronnie Rease (x9280) will provide them with a copy. The Office of Faculty Support is responsible for updating the seating charts. Seating Charts in PDF Format Judicial Clerkship Letters of Recommendation The Office of Faculty Support and Campus Services ensures that letters of recommendation submitted by full time faculty members are correctly addressed, printed, signed, and mailed by the appropriate clerkship deadline. Other recommenders are responsible for addressing and mailing their own letters. Students should follow the instructions listed in the current Judicial Clerkship Application Guide, available at the Office of Career Services' clerkship website. Faculty members should direct specific questions concerning compiling and mailing letters of recommendation for clerkships to Anna Selden (x9405), Faculty Manuscript Editor.
