CALENDAR

CREATING AN APPOINTMENT

  1. Open the Calendar folder by clicking on the Calendar icon, located at the bottom of the Navigation Pane.

  2. Double-click on the desired day or time slot for the appointment, click the New Appointment button in the toolbar, or press the Ctrl+N keys on the keyboard.
  3. A blank Appointment form will open.

  4. Complete the Appointment form.
  5. Click the Save and Close button in the toolbar when finished.
  6. The new appointment will appear in your Calendar, located on the right-hand side of the screen.
  7. Note that any date that contains an appointment appears in bold in the Navigation Pane, located on the left-hand side of the screen.

EDITING AN APPOINTMENT

  1. Open an existing appointment by double-clicking on it.
  2. If the appointment is a reoccurring one, choose to open only the current appointment or the entire series.
  3. Make the necessary adjustments.
  4. Click the Save and Close button in the toolbar when finished.
  5. The changes will go into effect immediately.
MOVING AN APPOINTMENT
  1. Drag the appointment from the Calendar, located on the right-hand side of the screen, to another date in the Navigation Pane, located on the left-hand side of the screen. (The time will stay the same.)

    -OR-

  2. Open the appointment and adjust the Start and End Date and Time fields.

CREATING RECURRING APPOINTMENTS

  1. Create a new appointment or open an exisitng one.
  2. Click the Recurrence button in the toolbar.
  3. The Appointment Recurrence dialog will appear.

  4. Complete the Appointment Recurrence dialog.
  5. Click on the OK button.
  6. You will return to the Appointment form.
  7. Click the Save and Close button in the toolbar when finished.
  8. The Recurrence will go into effect immediately.

INVITING ATTENDEES

  1. Create a new appointment or open an exisitng one by double-clicking on it.
  2. Click the Invite Attendees button in the toolbar.
  3. The Appointment Recurrence dialog will appear.
  4. A To field will appear in the appointment window.

  5. Click on the To… button to select the invitee's name.
  6. Click the Send button.
  7. The invitation will be sent to the invitee via email.

RESPONDING TO AN INVITATION

When a new meeting request lands in your Inbox, it is automatically added to your Calendar as tentative. However, you still need to reply to the meeting organizer.

  1. Open your Inbox.
  2. Open the meeting request.
  3. Click on the words Accept, Tentative, or Decline from within the meeting request's toolbar.
  4. You can also click on the Propose New Time option from within the meeting request's toolbar.

Note: To change your response, open the item in your Calendar, and select the Accept, Tentative, Decline, or Propose New Time option. For a request that you declined, check your Deleted Items folder, or ask the organizer to send you a new request.

DELETING AN APPOINTMENT
  1. Click once on an appointment to select it.
  2. Click the Delete button located in the toolbar.

  3. The appointment will be deleted immediately.
