CONTACTS

CREATING A CONTACT

  1. Open the Contacts folder by clicking on the Contacts icon, located at the bottom of the Navigation Pane.

  2. Click the New Contact button in the toolbar, or press the Ctrl+N keys on the keyboard.
  3. A blank Contact form will open.
  4. Complete the appropriate fields in the Contact form.
  5. Click the Save and Close button in the toolbar when finished.
  6. The new contact will appear in your Contacts List, located on the right-hand side of the screen.

Note: To save the current contact and create another, click the Save and New button.

Note 2: You can always right-click on a senders name from within an open email and select the option Add to Outlook Contacts.

EDITING A CONTACT

  1. Double-click on a contact in your Contacts List to open it.
  2. Make the desired changes.
  3. Click the Save and Close button in the toolbar.
  4. The changes will go into effect immediately.
FORWARDING A CONTACT TO ANOTHER USER
  1. Right-click on the desired contact in your Contacts List.
  2. A submenu will appear.
  3. Choose the option Forward.
  4. A blank email will open, containing the contact as an attachment.
  5. Complete the email.
  6. Click on the Send button.
  7. The contact will be forwarded.

SENDING AN EMAIL TO A CONTACT

  1. Click once on a contact to select it.
  2. Click the New Message to Contact button in the toolbar.
  3. A blank email will appear, addressed to the contact.
  4. Complete the email.
  5. Click on the Send button.

Note: You can hold down the Ctrl key and click on multiple contacts.

PRINTING CONTACTS

  1. Click on the word File in the menu bar.
  2. Choose the option Print.
  3. The Contacts Print dialog will appear.
  4. Select a Print Style, a Print Range, the number of Copies, and whether to Collate Copies.
  5. Click on the Preview button to preview your print-out.
  6. Click on the OK button to print your contacts.

CREATING A DISTRIBUTION LIST

  1. Click on the word Actions in the menu bar.
  2. Choose the option New Distribution List.
  3. A blank Distribution List form will open.
  4. Enter a name for your list in the Name field. (You can precede the name with the pound sign character (#) to have the list sorted first.)
  5. Click on the Select Members button.
  6. The Select Members dialog will appear.
  7. Select individual names and/or pre-existing Distribution Lists from the Global Address List or your Contacts. Double-click each selection to add it or click the Members button to add each selection
  8. Click on the OK button.
  9. You will return to the Distribution List form.
  10. Click on the Save and Close button.
  11. Your new distribution list is now ready for use.
Note: You can double-click on a distribution list to open it for editing purposes. To delete a distribution list, click on it once to select it and then press the Delete key.
